How to Generate and Allocate Student Sets

This segment of the process entails calculating, creating, and automatically assigning conflicting objects, known as student sets, onto activities in Activity Manager. Before any Study Combination appears in this table, it must first be approved in the previous stage of the process, which you can learn more about in the article "How to Review and Accept Study Combinations".

Generate Student Sets

To begin, the Study Combination must be approved, and activity data must be accessible for all Course Instances included in the combination. Once these criteria are met, the Study Combination receives a "complete" status, indicating that student sets can be generated. Simply select the completed Study Combinations using the checkboxes and press the "generate student set" button located at the bottom of the table.

The process of generating student sets may take a few minutes, depending on the number of Study Combinations selected. Even if only one combination is chosen, there will be a brief "start-up" time for the generation. To delve deeper into the logic behind how student sets are generated, refer to this article.

Select all pages

For efficiency, if you have multiple pages with completed Study Combinations that need student sets generated, use the checkbox in the table header. This action selects all Study Combinations on the current page. If multiple pages match your search criteria, you'll have the option to select all Study Combinations across those pages.

Allocate Student Sets

Once student sets have been generated, a confirmation pop-up displays the number of generated student sets based on the selection. You can then choose to "Allocate student sets" or "Allocate later." Opting to allocate the student sets initiates the creation of student sets and student set groups in Core, automatically assigning the student set groups to the activities in Activity Manager. Once this allocation process is completed, the Data Manager process finishes.

Deallocate Student Sets

Given changes in circumstances, you have the option to "Deallocate Student Sets." This action deletes the student sets and groups from Core and removes them from the activities in Activity Manager, resulting in the Study Combinations receiving a "Student sets generated" status.

Delete Student Sets

For Study Combinations where student sets haven't been allocated yet, you can delete and regenerate the student sets as needed. Deleting the student sets resets the Study Combination status to "Complete," allowing you to edit the Study Combination.

Statuses

  • Missing activity data: Indicates that one or more Course Instances in the Study Combination lack activity data.
  • Complete: Signifies that all Course Instances in the Study Combination have available activity data, making the Study Combination ready for student set generation.
  • Generating: Indicates that student sets are currently being generated.
  • Student sets generated: Confirms that student sets have been successfully generated for the Study Combination.
  • Generating student sets error: Denotes an issue with the student set generation process, often due to negative enrolment diffs or insufficient track capacity.
  • Student sets allocated: Confirms that student set groups have been successfully created and allocated to activities in Activity Manager.
  • Allocating student set error: Indicates an error during the creation and allocation of student sets and groups, often due to missing activities in Activity Manager. Verify that the activity form has been mapped and that all activities have been generated.
  • Deallocating student set errors: Indicates an issue with deallocating student sets and groups.

Filtering

The filtering options for the generate student sets table include:

  • Period: Defaults to the same period selected in the Review by Study Combination page.
  • Status: Allows selection of one or more statuses for filtering.
  • Study Combination: Enables a free-text search to easily locate specific Study Combinations.
  • Add filter: Provides all mapped category fields for Course Instance type as filtering options.

Resolve Enrolment Diffs

Negative enrolment diffs are a common reason for student set generation failure. In such cases, a modal is available to resolve the issue directly from the student set generation page. This modal allows editing of the expected enrolment for all combinations included in the generation.
