Joint Teaching and Study Combinations

Let's talk about jointly taught Course Instances and how they fit into the Study Combination workflow. It's a bit like juggling multiple balls at once, but following the below proposed workflow will get you there in the end.

Why each Course Instance needs its own Submission

Even if two or more Course Instances are jointly taught and have identical activities, each one needs its own submission in Preferences. This might seem a bit redundant, but it's essential for a couple of reasons:

  1. Student Set Groups: Each Course Instance requires its own Student Set Group for student allocation.
  2. Study Combinations: Even if Course Instances A and B are taught together, they might be part of different Study Combinations.

Proposed workflow for handling Jointly Taughts

  1. In Preferences Activity Data Collection:
    • Fill in the form for the "parent" Course Instance.
    • Add all the "children" Course Instances in a separate data source.
    • Check the box for "Joint teaching" to mark it as such.
    • Make sure the expected student count is for the parent Course Instance only.
    • Submit the form.
  2. On the Submitter's Page for "All Forms":
    • Copy the submitted parent Course Instance form submission.
    • Open the submission and choose one of the "child" Course Instances as the primary object.
    • Change from "Scheduling" to "Not scheduling” in a dropdown element.
    • Adjust the expected student count to match the child Course Instance.
    • Submit the form.
  3. In Data Manager:
    • No special steps needed for jointly taught activities in Data Manager for the Study Combination workflow.
    • Generate student sets and allocate them to activities in Activity Manager as usual.
  4. In Activity Manager:
    • Filter by the "Joint teaching" checkbox.
    • Locate the parent Course Instance and add it to the selection list.
    • Manually edit the Student Set Group on the activity, selecting all relevant Student Set Groups, including those from the child courses.
    • Use tags to mark completion.
  5. Scheduling from Activity Manager:
    • Filter for "Scheduling" and schedule only the parent Course Instances.
