Introduction to Allocate

Allocate allows users to preview modules and their groups, configure rules for the groups and, follow up on student allocation, including registration (self sign-up), into student groups (classes). This article will give you an introduction to the product.

Introduction

The main users of Allocate can hold various roles within your organisation, including core scheduling team members, module coordinators, and teachers responsible for specific modules. It can also be useful for study counsellors, enabling them to assist students in resolving scheduling issues by adjusting group assignments (see Student Adjustment).

The user needs to (do all, or parts of the following):

  • Confirm and be alerted if the actual enrolment exceeds the expected enrolment so that the coordinator can request more capacity if needed.
  • Confirm that requested groups are available as required, with the right resources and bookings.
  • Configure the groups: should a group's full capacity be used? Should it be exclusive to a specific student cohort, etc.?
  • Run allocation.
  • Monitor the process: have all enrolled students been allocated/registered into groups for all types of activities?
  • Support individual students who need help sorting out problems with their schedules.

All of this (and more) is supported in different views that will be presented below.

Since the interface is designed for a variety of users and, in some organisations, a large volume of users, the focus has been on creating a user-friendly interface that is easy to navigate and understand. Users should not require extensive training or expert knowledge to operate it effectively.

This view is tailored to give users a good overview of the status of their modules, including the enrolment vs. expected enrolment (notice the warning icon for the first module). When expanding a module, the allocation of students into the groups is displayed. There is also an issue list with different types of warnings that the user needs to be aware of.

When selecting one of the groups, a detailed view opens in a drawer where the user can view and edit more detailed information about the selected group.

It is also possible to select multiple groups to perform a bulk edit on the groups or start an allocation for the selected groups.

In the Allocate Overview interface, you will find 'View students' links that will take the user to Student Adjustment with filters pre-set to display the relevant subset of students.

Student Adjustment

Student Adjustment is used to retrieve a list of students based on their enrolment in courses and group membership. This view is intended to provide a more detailed view of the students in a module.

Manage student

Selecting Manage from the Student Adjustment view will allow the user to register the student to a group or swap groups.

Note that this view is basically the same view the student would see in the Registration interface. The user has the authority to override buffer, dedication, and hide configurations to assist the students.

Registration periods

Registration periods are used to set when a module opens and closes for student registration when Registration is used. Access to registration periods is restricted to users with Allocate::Admin rights.
